From the file server to SharePoint Online and OneDrive
The migration of data from a conventional file storage to SharePoint Online and OneDrive is very demanding from an organizational point of view. In many projects, data migration becomes a stumbling block because business users do not participate due to lack of time. How can the business be integrated into the migration process? How can users clean up, cleanse, reorganize and migrate the existing data with minimal effort? How can project managers and data owners keep an overview and control of the migration status at all times?
Controlled, automated and successful
With the DataGovernance Solution (DGS), data owners and business users can analyze their data on the file servers, clean it up with very little effort and prepare it for migration. The data can then be transferred easily, in a controlled and automated manner.
DGS scans the file servers, inventories all metadata and authorizations for each individual data object in a meta information system and creates a virtual image of the complete file server structure. In a central offline system, users can efficiently analyze and clean up the data objects, model the new filing structure for SharePoint, Microsoft 365 and assign the taxonomy.
Before or during the migration, the data can be cleaned, such as duplicates, empty files and empty folders. Files that are not Microsoft 365 compliant are identified using filters. During the automatic upload process, these are corrected, saved in a shadow directory and linked, marked or deleted in SharePoint, Microsoft 365. After migration, broken hyperlinks in Microsoft Office and PDF documents can be repaired automatically.
Project managers, data owners and users have full control at all times. The migration status is continuously tracked and verified in DGS. The data in the original storage location can be deleted after the upload, set to read-only or replaced by a link file with a reference to the new storage location. This ensures a stress-free, seamless transition from the old file system to SharePoint, Microsoft 365 with minimal effort.
